The following updates the Vivio’s Billing Policy will go into affect on June 20th, 2018

Switching to Invoicing in Advance

Up until now, the default billing method was to invoice for services after services had already started. This has the following problems:

  • Clients don’t see invoices until after they’ve been billed
  • Difficulty in making adjustments to invoices after the fact
  • Difficulty in clients planning for payments
  • Difficulty in providing long payment terms (ie: NET30 instead of NET10)
  • Surprise charges due to a forgotten long service terms (ie: services billed yearly)

In our continuing effort to improve, we’re changing the default invoice term for all accounts to invoicing in advance. This means, if your default payment terms are NET10, you will receive an invoice 10 days before that service is expected to start. This policy has the following benefits:

  • You will be able to review your invoices prior to the invoice being charged
  • You will be able to make changes to your account more easily
  • You will be able to make corrections to your invoice more easily
  • Longer payment terms will be easier to accommodate for clients who qualify
  • You will be able to plan for your regular payments

How will this Affect Your Invoice

If you’re currently on NET10 payment terms, you will receive your invoice 10 days sooner than you do currently. For clients who are invoiced on the first of each month, who’s invoices are due by the 11th, their invoice will be sent out on the 20th or 21st, and be due on the 1st.

This change will NOT affect your current billing cycles or service periods. A service which is currently invoiced for the 1st through the end of the month will still be invoiced for that period, but the invoice will come out sooner.

What if I’m Using Auto-Pay?

Clients who are currently on Auto-Pay will be charged on the invoice due date, not the invoice creation date. This means that you will be charged on the same day as you would have before, but you’ll now be able to review your invoice before you’re charged. This is a good thing.

What About Metered Services?

Some services that Vivio provides are billed based on use. This includes bandwidth and power for colocation clients, SysOps Support, and cloud-based services that use utility billing. The invoicing for those services will not change, and they will continue to be billed in arrears.
